Poster Sessions (Abstract Submission) FAQ

What is an appropriate scope / area of Abstract?

The audience of NYC Neuromodulation is interested in all forms of neuromodulation / brain stimulation. This can include any intentional application of energy to the nervous system for research or treatment purposes. Human trials at all scales (case studies, clinical trials), animal studies, or computational work is welcome.
Topics that are not explicitly focused on neuromodulation but deal with basic neuroscience, brain imaging, of neurological and psychiatric disease, may be appropriate if they are of clear immediate relevance to the neuromodulation community. However, general neuroscience or clinical trials not clearly linked to neuromodulation will likely not be accepted.

Who can submit and Abstract?

Anyone involved in neuromodulation (brain stimulation) research, treatment, deployment, or technology may submit an abstract. Authors (including the presenting author) may be at any stage of their career. New and junior investigators are especially welcome to submit and serve as presenting authors.

How should I format the poster and/or video?

The conference allows significant flexibility in how you format your poster stylistically. Evidently certain general professional standards apply, and submission that do not seem to follow any accepted standard or are otherwise not professional (e.g. carefully checked) will not be accepted. We generally suggest you format your poster as you would if you were planning to print it and physically present it. Please note the submission system specifies strict guideline or file format, and posters submitted in a different format will be accepted.

Is there a live poster session?

There is no conventional live poster session, either in person or online. However, from December 18th 9 AM (ET) to Dec 22 5 PM (ET) the comment section on all accepted posters will be open. This will be a text based interactive chat on each abstract home page. Anyone who creates an account can post comments and respond to comments, including the poster authors. The comment will be moderated for professional content, will be public, and will be frozen on Dec 22 5 PM (ET).
In addition, authors have the option to host their own Zoom poster session – which serves a chance to interact through video chat with anyone interested to “visit” your poster. You may select any time periods between December 18th 9 AM (ET) to Dec 22 5 PM (ET) to make yourself available on Zoom. You will provide your own Zoom link and be responsible to manage this.

How are abstracts selected / judged?

Abstracts will be reviewed by a conference Abstract committee which will score each abstract along the criteria specified in the instruction section. The review process is based on basic rigor in presentation style, clarity of content, completeness, and relevance to the conference scope. While factors such as “innovation” may factor, overall abstract will not be selected based on perceived novelty, impact, or importance. We just want sound and professional work. We trust that you will submit work you consider valuable to the neuromodulation community, and the conference platform is simply a way for those interested people to find your work.

Can I submit an abstract (or content) that has already been published or submitted to another conference?

Yes. Use this Abstract session (and the permanent home-page that goes with every accepted Abstract) to promote your relevant work. You can reference and even hyper-link to content. We only ask that you confirm you have the right to present any work you include.

How many Abstracts can I submit?

There is no limit. Each Abstract will be independently judged. An individual who is seen as trying to submit the same material into multiple abstracts will have all their abstracts not accepted.

Are there any costs to submit and Abstract or to attend the Abstract Sessions?

No. All aspects of the NYC Neuromodulation 2020 Online Conference, are free.

Once my Abstract homepage is public, how long will it stay up?

Forever. In submitting your abstract and associated materials, you are agreeing for the content to be made permanently available online. We cannot accommodate requests to remove content once the Abstract session starts.

Can I edit my Abstract / Abstract Homepage?

You can edit all aspects of your submission until December 15th, 2020 at 11:59 PM (ET). You can change things as much as you want, including uploaded files. You can also choose to delete the entire submission. After December 15th, 2020 at 11:59 PM (ET) you can make no more changes.



Oral Sessions FAQ

For Attendees

Who can attend a session?

Anyone can attend sessions of NYC Neuromodulation 2020 online. However, in the description of some sessions, the organizer may indicate the sessions are intended for a specific audience. You should use your discretion. Especially for sessions directed entirely to specific individual (e.g. a small discussion session for graduate students) attendees you certainly self filter to make sure they belong.

Are there any charges to attend a session?

No. Attendance of all sessions is free. If a session organizer contacts you about payment for a session this is fraudulent, Alert us immediately at conference@neuromodec.com. If anyone contacts you to request any personal information, including any form of payment related to the meeting, that is fraudulent. The only communication you will receive from the conference is confirmation of your attendance, emails asking you to confirm your attendance, and instruction on how to attend.

Can I record the session myself?

Some session will be designated as “Recorded” by the conference organizers. This means the conference organizers will record the session and the session will be later posted online including all attendees interactions (video, and audio). Regardless of whether or not a session is designated “Recored” or “No Recorded”, we ask then attendees to not record any sessions on their own.

Are session recordings only available for attendees who succesfully registered for the session?

No, if an organizer chooses to record their session, the recording will be made available publicly on the conference website.

I can not attend a session I registered for / or prefer to attend a different session.

If you can not attend a session please notify us at conference@neuromodec.com. if you want to register yourself at another event please do so.

Can I contact the session organizer?

The conference does not directly share information about session organizers. Some session organizers may include their contact information in the description of the session.

I have registered for a session but see an additional session I want to register for.

You can go ahead and register for the other session as well.

Do I need to enable my video and audio?

As an attendee, you do not need to enable your video or audio, please note that some sessions will be recorded, therefore anything you share via the zoom meeting for sessions that will be recorded will be shared online. There may be some sessions that are intentionally described as small (for example less than 20 attendees) group discussion: for those sessions if is recommended if you attend that you do share your video if possible. This promotes a sense of community and helps people know who is in the meeting.

Is there a limit on how many sessions I can attend?

No, you can attend as many sessions as you like. Although please be aware that although these are online events, each event has a capacity. Therefore please limit registration only to sessions that you plan to attend.

I've registered for a session. Now what?

You will receive an e-mail confirmation that you have registered for the session within 72 hours of registering. You will receive another email about 2 days before the conference begins with the attendance code (Zoom login) for each of the of the conference sessions you registered for. New sessions will be added regularly so re-check the conference for updates. You can always register for more sessions. If you need to drop a session, please let us know as soon as possible so we can free up your slot to others. Address any questions to conference@neuromodec.com

Can the organizer contact me directly or request personal information?

The organizers are not directly provided registrant information and so should not be able to contact you directly. Organizers are also discouraged from collecting personal information (such as your name, email) as part of (required to) entering the Zoom session. However, organizers may during the Zoom session offer for attendees to connect with organizers.


For Session Organizers

Who can organize a session?

A session can be organized by anyone or any group of individuals with domain relevant expertise in Neuromodulation or related imaging techniques.

Can I use a different video conferencing software?

In an effort to keep things consistent and easy for organizers and attendees we've decided to set Zoom as the exclusive video conferencing software.

Am I required to record my session?

No, recording your session is optional. If you choose to record the session using the Zoom feature we will get in touch with you after the meeting to obtain the recording.

Can I charge a fee for my session?

You cannot charge a fee for meeting attendees. NYC Neuromodulation Online 2020 is free for all participants. Organizers are welcome to get their own sponsors to sponsor their session.

Can I collected registrant information

While you are free to interact with registrants as you see fit, should you make any attempt to directly collect attendee information you must indicate the request is on behalf of the organizer and not the conference. The conference does not share (or collect on behalf of) attendee information for organizers.

What should be the format of my session?

You can adopt any format you deem appropriate for your session, you can consult existing sessions for ideas.

Do I need to enable video?

The conference is intended to foster a sense of community. Organizers and other meetings leaders (speakers) are expected to share their video barring special circumstances that prevent it. Attendees should see your presence.

How do I manage audience participation (Q&A)?

Each session organizer should carefully consider a realistic format for supporting audience participation. For small sessions (< 20 attendees), it may be possible to unmute all participants to support open dialogue. For large sessions, this may be impractical and session organizers can either adopt a system their participants “raise their hand” using the Zoom feature and are then unmuted or simply ask all questions be typed via chat. During Q&A, the session chair would then read out the questions.

Can I livestream my session using a different platform?

Organizers can live stream their session using platforms such as youtube, facebook. However, to support a sense of community we strongly suggest organizers drive attendees to attend with the conference session zoom.
